This estimate uses the actual QR density and frame size, a 0.4 mm module target, and a 10:1 distance-to-symbol-width rule of thumb. It is a planning aid, not a scan guarantee. Artwork size includes the border, frame and caption. These settings do not resize downloaded files or print sheets.

Choose text when the information should travel with the image

A text QR stores the actual message rather than a page to fetch. A short equipment note or meeting-point instruction can be read by a compatible scanner without loading a website. Internet access may still be needed for any links or actions contained in that text.

For example, a storage label could contain Kit B — return to reception after use. Put the same essential instruction in readable print so the QR is an extra way to access it.

Keep the message short and public

Longer messages usually create denser patterns, making small labels harder to scan. Remove unnecessary wording before increasing the print size. Do not use this as a private password vault: anyone with the QR image may decode its contents.

Text does not guarantee a particular action

Readers decide how to display or interpret decoded text. For a saveable address-book entry, use the contact card generator; for a scheduled activity, use the event generator. Those tools prepare structured content instead of a plain note.

Check the exported result

Compare the reader output with your original wording, including accents, line breaks and punctuation. Test a proof on the actual material. The printed message cannot be edited later; use a maintained webpage and a URL QR if the information will change.
